Job Title: Donor Data Administrator
Summary
- The Donor Data Administrator is responsible for the accuracy and integrity of donor data, and for supporting the organization’s fundraising and donor cultivation campaigns, using the Little Green Light (LGL) donor management software (with possible transition to a new platform within twelve months). This is a part-time contractor position.
Principal Duties
- Maintain the currentness, accuracy and integrity of constituent records:
- Create new constituent records, remove duplicates, and reconcile discrepancies.
- Record contact information changes, undeliverable notices, opt outs, and other updates to constituent data triggered by fundraising campaigns and regular constituent communications.
- Import/record other information on constituents from paper forms or other sources as needed.
- Import/input event registration and attendance data.
- Prepare the necessary data queries and mail merges for fundraising campaigns and other constituent outreach (3x per year):
- Create queries to pull targeted donor/constituent information from the database.
- Generate exports of that data for use outside the system.
- Run mail merges to combine donor information with fundraising or other outreach messages.
- Prepare these materials so the appeals can be sent via email and/or physical mail.
- Record campaign responses and send acknowledgements:
- Enter donations and supporting documentation
- Generate donor acknowledgement letters and gift receipts for personalization by Board members
- Produce regular and ad hoc reports and queries on donations and donor activity as requested by the Development Chair and Board members.
- Support conversion of the current donor management application and supporting systems and processes to a new donor management system (within the next 12 months).
- Undertake projects, as required, and perform other job-related duties as assigned.
Qualifications
- Donor Database administration or related experience required. LGL experience is a plus.
- Proficiency with Microsoft Office applications.
- Demonstrated ability to work with an elevated level of accuracy and manage confidential and sensitive information.
- Excellent organizational, communication, interpersonal, and time management skills.
- Proven ability to take initiative and work both independently and collaboratively.
- Reports To: Finance and Development Committee
Work Schedule
- This is a part-time, remote position. Additional consideration may be given to candidates local to Poolesville, Maryland or surrounding areas who can be available for periodic in-person presence.
- Hours may vary, with up to 20 hours per week during peak campaign periods (4-6 weeks per year) and 7–10 hours per week during non-peak periods.
